Q. What is HR Omni?

HR Omni is an all-in-one, secure online platform designed to help with HR and administrative tasks. It offers simplicity, flexibility and cost-efficiency for organisations of all sizes.

Q. What makes HR Omni different from other HR solutions?

HR Omni provides a unified tool that integrates all essential HR and administrative functions, eliminating the need for multiple, costly and hard-to-integrate solutions. It's designed to be easy to use, allowing for seamless information sharing across all internal tools.

Q. Can I manage multiple company locations?

Yes, HR Omni allows you to manage multiple company locations. You can simply register a new company and manage it separately with your existing user account. Having different company accounts will segregate their settings, users and access roles, so users from one company account (location) will not have access to the other unless they are given the permission to do so. This approach allows you to cover cases where a user can be an administrator in one location, but have limited or no access in another.

Q. How does Employee Time-Off Tracking work?

The Time-Off Tracking (a.k.a Employee Leave Management) module allows employees to submit leave requests, and approvers to manage and approve these requests easily. It integrates with your employee working schedules and public holidays for more accurate PTO calculations.

Q. Is HR Omni suitable for small companies?

Yes, HR Omni offers its core services for free, enabling small companies to easily store, manage records and perform fundamental HR tasks.

Q. Can I track company IT assets and inventory?

The Assets and Inventory Management module helps companies track and manage company-owned assets and inventory items, such as IT equipment, software licences and company vehicles. It offers reporting and tracking capabilities at no extra cost.

Q. What types of businesses can use HR Omni?

HR Omni is designed for businesses of all sizes, from small startups to larger organisations, providing flexible tools to manage HR tasks efficiently.

Q. Is HR Omni cloud-based?

Yes, HR Omni is a cloud-based platform, which means you can access it securely from anywhere, anytime, with a web browser and internet connection.

Q. What is a user?

User accounts are the foundational link in our platform, used to connect our free and paid features in a modular HRIS.

Q. How can I add users to the platform?

HR Omni offers flexible user creation options including bulk email invitations, manual creation, Single Sign-On (SSO) and CSV file uploads.

Q. What types of platform users are there?

There are users without access, users with access and employees. Each type has different permissions and access levels.

Q. Can I give access to external users like accountants and consultants?

Yes, HR Omni allows organisations to provide access not only to its employees but also to external users like accountants, consultants and auditors.

Q. How do I manage user access?

User permissions can be managed by assigning roles with specific access levels, such as read-only or read and write access.

Q. Can I remove a user from the platform?

Yes, users can be deactivated or removed from the platform by administrators at any time.

Q. Can I set up different access for each user?

Yes, you can assign specific roles and permissions to different users and control their access based on their needs.

Q. Is there a limit on the number of users I can add?

No, there is no limit to the number of users you can add.

Q. Is there a minimum service charge for using HR Omni?

No, HR Omni offers its core functionality for FREE. All paid modules are disabled by default, with charges only applied when an administrator enables paid functionality and starts using it. For example if you enable our paid Employee Time-Off Tracking (a.k.a Leave Management) module you will be charged only for the number of users added to this module and for the exact number of days they were active during the billing period.

Q. How is billing handled for HR Omni's paid modules?

HR Omni has a simple billing system where you pay only for the services you use. You can turn paid modules on or off whenever you like, and you’re charged based on usage, not a set fee.

Q. How does HR Omni calculate charges for users added to paid modules?

For modules like Leave Management, you only pay for the days a user is active, so you’re charged fairly.

Q. Where can I view my company's invoices?

Company administrators can view and print invoices in the billing section of the platform.

Q. What happens if an invoice is not paid on time?

If an invoice remains unpaid for one billing period, HR Omni reserves the right to disable the company account until the outstanding amount is paid.

Q. What payment methods are accepted by HR Omni?

HR Omni uses Stripe for processing payments, allowing administrators to add, edit, and delete payment methods. Direct bank transfers are also accepted.

Q. Can I change my payment method?

Yes, you can update your payment method at any time through the billing section of your HR Omni account.

Q. Are there any setup fees for paid modules?

No, there are no setup fees for activating HR Omni’s paid modules.

Q. How often are payments billed?

Payments for paid modules are billed on a monthly basis.

Q. Can I cancel or downgrade my plan at any time?

Yes, you can cancel or downgrade your plan at any time.

Q. Where is my payment information stored?

HR Omni does not store, see or process any payments directly, instead we use payment processors like Stripe to do so. All payments and credit/debit card details are securely stored and processed by a regulated provider.

Q. Is my data protected in the system?

Yes, your data is protected with our Role-Based Access Controls. We enforce a least privilege approach denying data access to new users by default. If a user needs access to company data then an administrator must explicitly provide such by assigning the specific RBAC role to the user.

Q. Who has access to my company’s data on the system?

Only authorised users, based on their assigned RBAC roles.

Q. How does HR Omni protect my sensitive data?

HR Omni uses strict TLS (SSL) encryption to protect your personal data transit and enforces least privilege RBAC access at rest.

Q. Where is my data stored?

HR Omni uses Amazon Web Services (AWS) with its datacenters in Dublin Ireland.

Q. Can I control who accesses my company's data?

Yes, you can assign specific RBAC roles and permissions to users, giving you the control over who has access to your sensitive data.

Q. Is data backed up regularly?

Yes, your data is backed up regularly by AWS ensuring protection against potential loss.

Q. Is my data shared with Third-Party providers?

No, we do not share your data with Third-Party service providers. The only instance where we might be forced to share your data is when we are required by law.
